2. Guide of the Information Regulator
A guide on how to use PAIA has been compiled by the Information Regulator in terms of section 10. It is available from the Information Regulator, JD House, 27 Stiemens Street, Braamfontein, Johannesburg, 2001, and on the Regulator’s website.
3. Records held
3.1 Records available in terms of other legislation
- Companies Act 71 of 2008 — statutory registers and annual returns.
- Tax Administration Act 28 of 2011 and Value-Added Tax Act 89 of 1991 — tax records.
- Basic Conditions of Employment Act 75 of 1997 — employment records.
- Protection of Personal Information Act 4 of 2013 — data subject records.
3.2 Categories of records held by the body
- Company and governance records, contracts and supplier agreements.
- Subscriber account records, subscription tiers, invoices and payment references.
- Platform operational records: asset registers, custody events, photographs, signatures and audit trails, held on behalf of Subscribers as their operator.
- Marketing and newsletter subscription records.
- Technical, security and system log records.
4. How to request a record
- Complete the prescribed PAIA request form and send it to privacy@iinventory.online or the postal address above.
- Provide sufficient detail to identify the record, your identity, the form of access required and contact details in South Africa.
- State the right you seek to exercise or protect and why the record is required for that purpose.
- We will respond within 30 days. That period may be extended by a further 30 days where the request is voluminous, and you will be notified in writing.
5. Fees
A request fee and access fee may be payable as prescribed in the PAIA regulations. Personal requesters seeking their own personal information are not charged a request fee. We will provide a written fee estimate before processing where access fees exceed the prescribed threshold.
6. Grounds for refusal
Access may be refused on the grounds set out in Chapter 4 of Part 3 of PAIA, including the mandatory protection of the privacy of third parties, commercial information of third parties, confidential information, safety of individuals and property, legally privileged records, and our own commercially sensitive information.
7. Remedies
If a request is refused, you may lodge a complaint with the Information Regulator or apply to a court with jurisdiction for appropriate relief within the periods prescribed by PAIA.

This manual is available free of charge on this page, and on request in printed form from the Information Officer.
